been trying to stop the bleeding on hardware costs for my remote devs. instead of just paying for their monitors or keyboards out of my own pocket, i make it a non-negotiable part of the monthly retainer. adds about fifty bucks to the line item but saves me from getting hit with random one-off invoices every time someone breaks a mouse.

the fifty bucks is a steal compared to dealing with shipping logistics. i tried doing one-off reimbursements for my guys last year and it was a total nightmare. tracking receipts across different timezones is absolute madness. now i just bake a flat hardware fee into the base rate. someone once asked for a whole new mechanical keyboard setup though. i told them no. stay firm on that line item or they will start asking for ergonomic chairs too.

i do something similar for my web dev guys but i cap it at a specific amount per year so they don't go overboard on fancy gear. works fine for basic stuff like mice or cables, but never let them choose the vendor because then you're stuck paying premium shipping. just send them a link to a specific amazon list and call it a day.
